Position Summary:

Reporting to the Sr. Product Manager, the primary responsibility of this position is to work alongside the Sales and Marketing Departments with navigating organizational management, event oversight, Agent oversight, management of administrative traffic flow, manage oversight of agents reports and audits and is flexible and open to daily changes. The Field Administrative Specialist will be the primary point of contact with a variety of entities including but not limited to: Sales Agencies (FMO/GA’s), AHP Field Sales, Marketing Vendors (advertising, fulfillment), and Regulatory agencies (CMS).

General Duties/Responsibilities:

Sales Operations

  • Manages service, regulatory and financial performance of the Broker Servicing function making sure that FMO is compliant at all times
  • Leads end-to-end process improvements for FMO.  
  • Leads the Broker Commission team in accurately tracking and reporting FMO commissions monthly.
  • Distribute requested event materials to Sales Reps and ensures sign-off on presentation banners or other borrowed AHP materials.
  • Assists in logging monthly events scheduled into the Salesforce database.
  • Assists in loading and unloading of materials for events on and offsite Special projects
  • Coordinates the venue for FMO meeting, training and events. Maintains the attendance RSVP list of all active brokers who attend training meetings.
  • Prompt e-mail of phone follow-up as needed with established brokers to ensure satisfaction, respond to queries, solicit further sales (referrals), and solve or refer problems to appropriate internal AHP departments.
  • Schedule ride-along evaluations on an as needed basis with internal sales representatives.
  • Event Fulfillment management of promotional and collateral materials
  • Manages the event marketing budget
  • Project development and planning for initiatives.
  • Preparation and oversight of CMS Part C & D Reporting, data validation audits, and ad hoc audit and reporting requirements related to the Sales and FMO division
  • Compliance oversight of CMS Medicare Marketing Guidelines
  • Knowledgeable of all elements of product portfolio associated eligibility guidelines for various election periods with Medicare
  • Able to assess existing processes for opportunities, deficiencies, compliance adherence and refinement

Administrative support

  • Manages scheduling, invoicing and calendars for self and supported leaders
  • Coordinates travel and prepares monthly expense reports
  • Provides administrative support for a variety of projects and tasks, including collaborative projects shared by the administrative team
  • Assists with preparation for department meetings as well as team engagement activities
  • Provides executive and leadership oversight and is responsible for creating and driving implementation of operating plans, which are required to support immediate and long-term business strategies
  • Manages and maintains Sales & Product P&P’s in accordance to CMS guidelines and regulations.
  • Project management and tracking of product, provider and marketing trends and projects
  • Coordinate business activities by maintaining collaborative partnerships with key departments.

Minimum Requirements:

  • Minimum 3 years experience working in the Medicare healthcare field.
  • Ability to work well with staff and with minimal direction.
  • Ability to work in a flexible environment
  • Knowledge of project development and sales management, managing traffic flow, and calendar development.
  • Ability to navigate multiple assignments and understand the ever-changing Medicare environment.
  • Computer proficiency, including Microsoft Office suite, as well as the use of internet, web-based applications.
  • Bilingual English/Spanish preferred.
  • Bachelor or Associate Degree preferred; high school diploma or equivalent required
