Position Title: Contract Administrator

External Description:

The Contract Administrator will be accountable for driving the production of contract documents to completion including reviewing, analyzing, revising, tracking and maintaining contracts.  Accurately maintain records and files of work and revisions. Solves problems and is a critical thinker; learns quickly, and produces excellent conclusions and solutions to a given situation. Uses multiple problem-solving tools and techniques. Possess excellent written and verbal communication skills with proficient command of grammar, punctuation, spelling and correct usage of the English language.  Strives to finish everything he/she starts. Embraces change and works toward the common cause and communicates what needs to be done.   Superior organizational and time-management skills with the ability to multitask with shifting priorities.  Must have and express a team mentality.  Assists the department in managing other projects and administrative tasks as needed, including arranging meetings.

The Contract Administrator will be self-motivated, and maintain highest ethical and professional standards, with commitment to excellence.

Essential Duties and Responsibilities

Essential duties and responsibilities include but are not limited to:

  1. Auditing and quality control of the contract administration process and monitoring the oversight of contracts internally and externally. Coordinating contract and provider implementation, and communication.
  2. Oversees the accurate routing of contracts and notification of changes before such documents are loaded in the system.
  3. Update and maintain contract templates.
  4. Oversees the administration and security of contracts/contract files hard copy and electronically.
  5. Performs da entry, i.e. network comparisons, network adequacy, etc.
  6. Coordinates with Provider Services and Provider Data Units to ensure contract workflows are in place and appropriate.
  7. Coordinates with Credentialing Department to ensure new providers are accepted by AHC
  8. Assists with development, revision and quality control of contract templates and contracting guidelines. Audits, monitors and reports contract language provisions internally or externally if requested.    
  9. Manages departmental reporting requirements, and ensures all required regulatory and contractual reports are submitted accurately and timely.
  10. Supports department needs for creation and updates of policies and procedures regarding all contract areas. Ensure repository for policy and procedures are effectively maintained and that the information is current and concise.
  11. Assist with network expansion – call on potential providers to obtain contact person, obtain credentialing document, confirm that provider is willing to negotiate with us.
  12. Conduct OIB/GAS checks, website searches, etc. Accurately maintain records and files of work and revisions. Solves problems and is a critical thinker; learns quickly, and produces excellent conclusions and solutions to a given situation. Uses multiple problem-solving tools and techniques. Possess excellent written and verbal communication skills with proficient command of grammar, punctuation, spelling and correct usage of the English language
  13. Assists with the research and network development activities to ensure expansion of provider network within established geographic areas and time frames. Preparing contract/provider network data for submission to regulatory bodies within required timelines. 
  14. Cultivate successful interactions and relationships with counterparts and co-workers.
  15. Other projects and department administrative duties as assigned, including follow-up and reporting on project status and general office duties.

Qualifications

  1. Education and/or Experience:  Two years post high school college education or four year college degree preferred.  Minimum 2 years administrative/office experience. 
  2. Supervisory experience:  None required.
  3. Certificates, Licenses, Registrations:  None required.
  4. Other Qualifications: 
    • Excellent English written and oral communication skills.
    • Excellent follow-through and ability to follow instructions accurately.
    • Ability to manage multiple demands and quick turnaround requirements.
    • Experience creating and revising contract templates preferred
    • Computer literacy to include proficient use of Microsoft Office (Word, Excel, Powerpoint, etc.)
    • Excellent interpersonal skills.
